Outlook setup (Windows, Mac, Mobile)

Overview

Microsoft Outlook is a powerful tool for managing professional communications. Because Clearbox is built on industry-standard protocols, it integrates seamlessly with all versions of Outlook.

This guide will walk you through the setup process. In many cases, Outlook can configure itself automatically through a feature called Autodiscover, but we have also provided manual instructions if you need to enter the settings yourself.


1. The Connection "Dashboard" (Server Settings)

If Outlook asks you for manual details, use these "digital coordinates" to link your account.

2. Outlook for Windows

Modern versions of Outlook for Windows are designed to find your settings for you.

Automatic Setup

  1. Open Outlook and go to File > Add Account.
  2. Enter your full email address and click Connect.
  3. If prompted, enter your password. If the "Autodiscover" system is active for your domain, Outlook will finish the setup automatically.

Manual Setup (If Automatic Fails)

  1. Select Manual setup or Advanced options when prompted.
  2. Choose IMAP as your account type.
  3. Enter the Incoming and Outgoing server details from the table in Section 1.
  4. Click Next, enter your password, and Outlook will test the connection.

3. Outlook for Mac

  1. Open Outlook and navigate to Tools > Accounts.
  2. Click the plus (+) icon and select Add Email Account.
  3. Enter your email address. If Outlook asks for the provider type and doesn't recognize Clearbox immediately, select "Not Exchange?" in the top right, then choose IMAP/POP.
  4. Enter the server settings from Section 1 and ensure the port numbers (993 and 587) are entered correctly.

4. Outlook Mobile (iOS & Android)

  1. Open the Outlook app and go to Settings > Add Mail Account.
  2. Enter your email address.
  3. If the app does not configure automatically, tap Set Up Account Manually.
  4. Select IMAP and enter the server details. Ensure you include your full email address in both the "Username" and "Display Name" fields.

5. Troubleshooting & Pro-Tips

Authentication & Login Errors

The most common cause of setup failure is a minor typo.

  • Full Identity: Ensure your username is your complete email address (e.g., you@yourdomain.com).
  • One Password: Clearbox does not use "App Passwords." Use the same password you use to log in to the Clearbox Web App.

Folder Mapping (Missing "Sent" or "Drafts")

If you don't see your sent messages, Outlook might be saving them to a local folder instead of the server.

  • The Fix: Go to Account Settings > More Settings > Advanced and ensure the "Sent Items" path is pointed to the server's Sent folder.

Certificate & Security Warnings

If you receive a "Security Certificate" warning:

  • Check the Hostname: Ensure the server name is exactly clearbox.alfrolia.com.
  • SSL/TLS: Verify that you have selected the correct security type (SSL/TLS for incoming and STARTTLS for outgoing).

Advanced Outlook Maintenance

  • Stay Updated: Ensure you are using the latest version of Outlook to benefit from the best security and "Autodiscover" performance.
  • Building the Cache: When you first add your account, Outlook will download your history. Depending on the size of your mailbox, this may take a few minutes to an hour. You can continue to use the app while this happens in the background.
