Email aliases

Overview

An Email Alias is a professional "nickname" for an existing mailbox. It allows you to receive mail at alternate addresses (like sales@yourdomain.com or hello@yourdomain.com) that all deliver directly into your primary inbox.

Aliases are a cost-effective way to manage different business roles because they do not require extra licenses or additional storage.

[!NOTE] Incoming Only: At this time, Clearbox aliases are designed for receiving mail only. You cannot currently select an alias as the "From" address when sending or replying to messages.

2. Setting Up an Alias (Admin Guide)

If you are an administrator, you can add aliases in seconds:

  1. Sign in to the Clearbox Admin Console.
  2. Navigate to Users and select the mailbox that should receive the redirected mail.
  3. Click the Aliases tab and select Add Alias.
  4. Enter the desired prefix (e.g., invoices) and click Save.

3. Best Practices & Pro-Tips

  • Consolidate Your Workflow: Use aliases to project a large-company feel. You can have billing@, jobs@, and support@ all go to your personal inbox so you never miss a lead.
  • Privacy Protection: Use a specific alias when signing up for industry newsletters. If that address starts receiving spam, you’ll know exactly which source leaked your data.
  • Avoid "Plus-Addressing" Confusion: While Clearbox supports user+extra@domain.com, a standard alias (like hello@domain.com) looks more professional on business cards and marketing materials.
  • The DotSync Advantage: For domains managed by DotSync, all internal routing for your new alias is handled automatically. No manual DNS updates are required.

4. Troubleshooting

  • Mail Not Arriving? * Double-check that the alias is spelled correctly in the Admin Console.

  • Check your Quarantine or Spam folder; sometimes filters are stricter on alias-directed mail.

  • Ensure the primary mailbox isn't over its storage limit, as this will prevent alias mail from being delivered too.

  • Need to Send as the Alias? * Since Clearbox does not yet support outgoing mail for aliases, you will need to create a full Mailbox if you need to reply to customers using a specific role address (e.g., support@).
