Setting up Gmail app (Android & iOS)

Overview

Many professionals prefer to manage all their email accounts within a single application. This guide will help you connect your Clearbox Suite to the Gmail app on your smartphone or tablet.

Clearbox uses a high-security connection method called IMAP, which ensures that your emails stay perfectly synchronized. If you delete or move an email on your phone, it will automatically update on your computer and in the Clearbox Web App.


1. Connection "Cheat Sheet"

If you are familiar with manual email setup, use these settings. If not, follow the step-by-step instructions in the sections below.

Security Note: Clearbox utilizes a unified authentication system. You will use your primary account password for all connections. Please note that "App Passwords" and "OAuth" are not used by the Clearbox system.


2. Setup for Android Devices

  1. Open the Gmail App: Tap the menu icon (three lines) or your profile picture in the top right corner.
  2. Add Account: Scroll down and select Settings, then tap Add account.
  3. Choose "Other": Select the Other option from the list of providers.
  4. Enter Email: Type in your full professional email address and tap Manual Setup (do not just tap "Next").
  5. Select IMAP: When asked for the account type, select Personal (IMAP).
  6. Incoming Server Settings: * Ensure your password is correct.
  • Change the server name to clearbox.alfrolia.com.
  • Ensure the Security type is SSL/TLS and the Port is 993.
  1. Outgoing Server Settings: * Ensure the SMTP server is clearbox.alfrolia.com.
  • Set the Security type to STARTTLS and the Port to 587.
  • Ensure "Require sign-in" is toggled ON.
  1. Finalize: Choose your preferred sync frequency (e.g., "Every 15 minutes") and tap Next to complete.

3. Setup for iOS (iPhone & iPad)

  1. Open Gmail: Tap your profile picture/avatar in the top right corner.
  2. Add Another Account: Tap Add another account, then select Other (IMAP).
  3. Enter Credentials: Enter your full email address and your standard account password.
  4. Enter Server Details:
  • Incoming: Host clearbox.alfrolia.com, Port 993, Security SSL/TLS.
  • Outgoing: Host clearbox.alfrolia.com, Port 587, Security STARTTLS.
  1. Save: Tap Finish. Your emails will begin appearing in your inbox momentarily.

4. Common Troubleshooting

If you encounter an error during setup, check these three common solutions:

  • "Invalid Credentials" or Password Error: Ensure your username is your full email address. Double-check for typos and ensure your Caps Lock is off. Remember that Clearbox does not support "App Passwords"—simply use your main login password.
  • "Cannot Connect to Server" or Timeout: This usually happens if the Port or Security type is incorrect. Re-verify that the Incoming port is 993 and the Outgoing port is 587.
  • Emails are not Sending: In the Outgoing (SMTP) settings, ensure that "Require sign-in" or "Authentication" is enabled. Your phone needs to "log in" to our server even when sending mail.
  • Sync Issues: If you aren't seeing new mail, ensure your phone is not in "Battery Saver" or "Low Power Mode," as these settings often pause email synchronization to save energy.
